Expro Group are currently recruiting for a Proposals Administrator to join the BD/Sales team based in Accra .

Overall Purpose of the Job

Provide administrative support the ESSA Region BD team in winning business. Assist in the preparation and production of pre-qualification and other bid documentation in area of responsibility

Key Activities And Accountabilities

 

  • Receive all ITT’s (Invitation to Tender) and RFQ’s (Request for Quotations) and assist to acknowledge their receipt and log them onto both Salesforce.com and the Tender Tracker.
  • Maintaining Client Bidding Portal Information and memberships with Vendor Quality portals.
  • Obtain timely responses from designated parties for inclusion into relevant documents.
  • Prepare response documents and assist in the compilation of ITT submissions. Ensure document content is accurate, visually appealing, delivered to rigid deadlines and in compliance with Business Development Quality Management System
  • Prepare reports as directed by Region BD Manager, collating information from stakeholders
  • Act as interface with the Group Marketing Team to ensure ESSA marketing material is relevant and up to date.
  • Maintain a Bid Archive and Tracker
  • Enhance and maintain ESSA content library in XAIT Porter. Ensure comprehensive library of template material and that all information is subject to periodic review for accuracy and relevance
  • Support Salesforce super user promoting data integrity and offering suggestions for improvement
  • In conjunction with Sales and Client Account Managers, may be required to collate monthly sales and marketing report
  • Actively adhere to the Code of Conduct and Anti-Bribery policies, procedures and processes to ensure the highest ethical standards are maintained and exposure to liability or risk to Expro’s reputation is minimised. If necessary, report possible violations or conflicts of interest.

Job Knowledge And Qualifications

 

  • Previous experience in similar role
  • Previous experience with XAIT Porter, Salesforce.com & other cloud-based management systems
  • Proficient in Microsoft office (Excel, Powerpoint and Word
