Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements, while proactively identifying and resolving scheduling conflicts.
- Coordinate and prepare materials for meetings, presentations, and conferences, ensuring timely distribution to relevant participants
- Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications, and providing professional and responsive support.
- Assist in preparing and editing correspondence, reports, and other documents, ensuring accuracy, clarity, and adherence to company standards.
- Conduct research and compile information to support decision-making processes, special projects, and initiatives assigned by the CEO Technical.
- Foster effective communication within the technical department by disseminating information, coordinating team meetings, and maintaining up-to-date contact lists.
- Manage and maintain confidential files, records, and databases, exercising discretion and confidentiality in handling sensitive information
- Coordinate and organize departmental events, training sessions, and workshops, handling logistics, invitations, and necessary arrangements
- Track and follow up on action items, deadlines, and deliverables from meetings and projects, ensuring timely completion and accountability
- Collaborate with other executive assistants and support staff to facilitate cross-functional coordination and optimize administrative processes.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Proven experience in an executive assistant or similar role, preferably supporting C-level executives or senior management.
- Excellent organizational and time management skills, with the ability to prioritize tasks, handle multiple assignments, and meet deadlines.
- Strong written and verbal communication skills, with exceptional attention to detail and accuracy.
