Job Description/Requirements

Key Responsibilities:

Customer Interaction:

  • Assist clients in planning and booking travel arrangements, including flights, accommodations, transportation, and tours.
  • Address client inquiries, provide information about travel packages, and offer recommendations based on their preferences.

Administrative Tasks:

  • Manage and maintain the front desk area, keeping it neat and organized.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Maintain an updated and accurate database of client information, travel itineraries, and other relevant records.
  • Prepare and process travel-related documents, such as itineraries, invoices, and vouchers.

Travel Coordination:

  • Collaborate with travel agents to create customized travel packages for clients.
  • Arrange and confirm travel bookings, ensuring accuracy in dates, times, and details.
  • Coordinate with airlines, hotels, transportation providers, and tour operators to ensure smooth travel experiences for clients.
  • Assist in resolving any issues or changes related to travel arrangements.

Scheduling and Appointments:

  • Manage the appointment calendar for travel agents, ensuring efficient use of their time.
  • Schedule meetings and appointments with clients, colleagues, and partners as needed.

Documentation and Reporting:

  • Prepare reports on bookings, sales, and customer feedback for management review.
  • Maintain records of payments, invoices, and receipts, and assist in financial reconciliations.

Qualifications and Skills:

  • High school diploma or equivalent; additional education or certification in travel and tourism is a plus.
  • Proven experience as a secretary or administrative assistant in a similar field.
  • Strong communication skills, both verbal and written, with a customer-oriented approach.
  • Proficiency in using office software (e.g., Microsoft Office Suite) and computer systems.
  • Excellent organizational and multitasking abilities, with high attention to detail.
  • Knowledge of travel booking platforms and reservation systems is advantageous.
  • Ability to remain calm and composed under pressure, especially during peak travel seasons.
  • Problem-solving skills to handle unexpected situations and changes in travel plans.

As a Travel and Tours Secretary, you will play a crucial role in ensuring the smooth and efficient operation of the travel agency. Your primary responsibilities will involve providing administrative support, handling customer inquiries, coordinating travel arrangements, and maintaining organized records. You will be the key point of contact between the agency and clients, making your role essential for delivering excellent customer service and contributing to the success of the business.
