Position : HR Administrative Assistant – Ridge
We are looking for a HR Administrative Assistant.
Responsibilities :
Daily Office Operations
- Manage day-to-day office operations, including maintaining supplies, equipment, and organized workspaces
- Provide administrative support to the Managing Director, including calendar management, scheduling meetings, and preparing materials for client engagements
- Answer and direct phone calls, respond to general inquiries, and maintain professional communication with clients and candidates
- Develop and maintain organized filing systems for company documents (both physical and digital)
- Prepare documents, photocopy, scan, and organize materials for meetings and client presentations
- Coordinate meeting schedules, conference calls, and appointments
Documentation & Data Management
- Utilize Google Workspace and Microsoft Office Suite to manage schedules, documents, and databases
- Maintain accurate records and databases with careful attention to detail
- Ensure data entry accuracy through systematic verification and quality checks
- Handle confidential employee and client information with discretion and in compliance with company policies
Recruitment Support
- Post job advertisements on LinkedIn and other job platforms on behalf of clients
- Screen and organize incoming resumes and candidate applications
- Schedule interviews and coordinate between clients and candidates
- Track candidate applications and maintain recruitment databases and pipelines
- Follow up with clients on recruitment progress and updates
Client Support & Communication
- Serve as a point of contact for client inquiries related to recruitment requests
- Conduct regular follow-ups with clients regarding their recruitment needs and progress
- Maintain organized records of client accounts, recruitment mandates, and project timelines
- Assist with preparation and follow-up on client contracts and documentation
Records & Reporting
- Maintain HR dashboards using Excel and Notion to track recruitment metrics and candidate pipelines
- Update and organize employee records and HR documentation
- Support HR administrative tasks including file management and record-keeping
- Prepare daily and weekly reports on recruitment activities and office operations

Qualifications
- Bachelor’s degree or HND in Business Administration, Human Resources, Economics, or related field
- 1-2 years of experience in administrative support, customer service, or office coordination
- Experience or strong interest in HR and recruitment is an advantage
- Proficiency in Google Workspace (Gmail, Google Drive, Sheets, Docs, Calendar)
- Good working knowledge of Microsoft Office Suite (Word, Excel, Outlook)
- Comfortable using social media and professional platforms like LinkedIn
- Ability to learn new systems and tools quickly
- Basic understanding of databases and record-keeping systems
